Publishing an Outlook calendar to Office Online

You may have an Outlook calendar that you want to share with others, but you do not have Microsoft Exchange or they are not within the same company. In that case you can publish your calendar to Office Online and invite them to view it.

If you have not previously published an Outlook calendar to the web, you will first have to register for Office Online using a Windows LiveID account. If you do not have a Windows LiveID account you can create one; instructions will be given as you try to publish your calendar.

To publish an Outlook 2007 calendar:

  1. Go into Calendar view.
  2. In the Navigation pane, click on Publish my Calendar. The Published Calendar Settings dialog box will be displayed.

  1. In the Time Span section, decide on the length of time for which you want invitees to view your Calendar.
  2. In the Detail section, decide on the level of detail that you want to share – options are Availability only, Limited Details or Full Details.
  3. In the Permissions section, decide whether Only invited users can view this calendar or Anyone can view and search for this calendar on Office Online. If you choose the latter option, people do not need to have a Windows LiveID account to open it and you should type in a suitable description for your calendar in your Description box to make it obvious that it is your calendar.
  4. Click OK. The Web Server will be contacted and your calendar published.
  5. You can then send an invite by e-mail to those who you want to share your Calendar with.

If you are using Outlook 2010, Outlook 2013, Outlook 2016 or Outlook 365:

  1. Go to your Calendar.
  2. On the Home tab, in the Share group, click Publish Online. The Publish Calendar dialog box will be displayed.
  3. Type in the location where your calendar will be published.
  4. In the Time Span section, decide on the length of time for which you want invitees to view your Calendar.
  5. In the Detail section, decide on the level of detail that you want to share – options are Availability only, Limited Details or Full Details.
  6. If required, check the Show time within my working hours only box.
  7. Click OK.

I am a trainer of Microsoft Office, Microsoft Project and Crystal Reports. I have called my blog "If Only I'd Known That...." because I hear it so many times in training sessions. In fact, if only I had a £100 (or 150 Aussie dollars)for every time someone says "If only I'd known that." ....
